The Department of Housing Contract is the agreement all residents of Georgia Institute of Technology residence halls accepts. The Contract incorporates all rules and regulations listed in Technically Speaking and Code of Student Conduct.

Cancellation

To cancel your housing contract/application, log into your My Housing account, choose the appropriate application, and cancel. Upon completion of on-line cancellation, the Student will receive a confirmation e-mail which should be retained as proof of cancellation. Cancellation penalties are assessed regardless of the time you are accepted to GT and regardless of when you apply for housing. Notifying other Georgia Institute of Technology offices (i.e., Admission’s Office, Registrar’s Office, Bursar’s Office, etc.) DOES NOT cancel your housing contract.

Canceling Before Contract Begins:

Academic Year Contract Cancellation Policy Before Contract Begins

For Contracts beginning Fall Semester 2017

CANCELLATIONS received March 6 through March 31, the Student will receive a refund of $450.00. First time Georgia Institute of Technology Housing applicants will receive a refund of $370.00. If a delay of prepayment was accepted by the Student the Student will be billed $150.00. First time Georgia Institute of Technology Housing applicants accepting a delay of prepayment will be billed $230.00.

CANCELLATIONS received April 1 through April 30, the Student will receive a refund of $300.00. First time Georgia Institute of Technology Housing applicants will receive a refund of $220.00. If a delay of prepayment was accepted by the Student the Student will be billed $300.00. First time Georgia Institute of Technology Housing applicants accepting a delay of prepayment will be billed $380.00.

CANCELLATION received May 1 through June 30, the Student will receive a refund of $150.00. First time Georgia Institute of Technology Housing applicants will receive a refund of $70.00. If a delay of prepayment was accepted by the Student the Student will be billed $450.00. First time Georgia Institute of Technology Housing applicants accepting a delay of prepayment will be billed $530.00.

CANCELLATIONS received July 1 through July 31, the Student will not receive a refund. If a delay of prepayment was accepted by the Student the Student will be billed $600.00.

CANCELLATIONS received August 1 through August 18 the student, who is registered and attends classes at Georgia Institute of Technology for fall semester 2017, the Student will be billed an additional $400.00. If a delay of prepayment was accepted by the Student the Student will be billed an additional $1,000.00.

A Student that fails to cancel this contract on/before the last Friday prior to the first day of class is considered a “No-Show” responsible for the full rental amount for the entire length of this contract (two semesters) regardless of occupancy or enrollment in Georgia Institute of Technology.

A Student that cancels his/her contract on/after the starting date of the contract is responsible for the full rental amount for the entire length of this contract (two semesters) regardless of occupancy or enrollment in Georgia Institute of Technology.​​​

Spring Contract Cancellation Policy

CANCELLATIONS received on or before November 15, the Student will receive a refund of $300 of the prepaid rent.  (First time housing applicants will receive $220.)  If a delay of prepayment was accepted by the Student, the Student will be billed $300. (First time housing applicants accepting a delay of prepayment will be billed $380.)

CANCELLATIONS after November 15, the Student will not receive a refund.  If a delay of prepayment was accepted by the Student, the Student will be billed $600.

A Student that fails to cancel his/her contract on/before the last Saturday prior to the first day of class Spring Semester is considered a "No-Show" and is responsible for the full rental amount for the entire length of the contract regardless of occupancy or enrollment in Georgia Institute of Technology.

A Student that cancels his/her contract on/after the starting date of the contract is responsible for the full rental amount for the entire length of this contract regardless of occupancy or enrollment in Georgia Institute of Technology.

Summer Contract Cancellation Policy

CANCELLATION Received on/or before April 1st the Student will receive a refund of $150.00 of the prepaid rent. First time Georgia Institute of Technology Housing applicants will receive a refund of $70.00. Cancellations received on or before April 1, the Student will receive a refund of $70.00; if a delay of prepayment was received the Student will be billed $230.00.

CANCELLATION Received after April 1st the prepaid rent is non-refundable. The Student will not receive a refund; if a delay of prepayment was received the Student will be billed $300.00.

CANCELLATION A  Student  that  cancels  this  Contract  for  the  full or early short summer session on/after the last Sunday prior to the first day of classes  the  Student  will  be  responsible  for  the  full  terms  of  the  contract  regardless of occupancy.

CANCELLATION A Student that cancels this Contract for the late short summer session on/after the June 13th the Student will be responsible for the full terms of the contract regardless of occupancy.

CANCELLATION A Student that cancels this Contract on/after the contract start date will be responsible for the full terms of the contract regardless of occupancy.

Summer Family/Monthly Contract Cancellation Policy

CANCELLATION Received on/or before April 1st the Student will receive a refund of $150.00 of the prepaid rent. Cancellations received on or before April 1, the Student will receive a refund of $70.00; if a delay of prepayment was received the Student will be billed $230.00.

Cancelling After Contract Begins

For All Academic Terms - Including Summer & Monthly

VI. CONTRACT TERMINATION BY THE STUDENT - AFTER CONTRACT BEGINS

If terminating after the Contract begins, the Student is responsible for the full rental amount for the entire length of the contract. Prior to vacating housing by means of an official check-out (see section IX., B.) the Student must cancel the Contract online under “My Housing” at www.housing.gatech.edu. If the Student is unable to cancel online then the Student must submit a written notice of cancellation to the Department of Housing, Student Services Building, 353 Ferst Drive NW, Suite 102, Atlanta, GA 30332-0459.

A Student desiring to terminate this Contract prior to the expiration of this Contract may, under certain conditions do so without full penalty, provided the proper documentation is submitted and approved only for reasons listed in Section A, below.

  1. A Student withdrawing from Georgia Institute of Technology Department of Housing for one of the following reasons will be charged a prorated amount based on days of occupancy determined by completing an official check-out as defined in section IX., B.: (1) Graduation, (2) Military, (3) Medical, (4) Georgia Institute of Technology Co-op Program, Georgia Institute of Technology Required Internship, Study Abroad, or (5) Academic Dismissal.

i. Graduation withdrawal requires written verification of graduation from the Registrar’s Office. Graduation release is not when the Student has completed their thesis, dissertation and/or course work, but at the end of the semester in which the Student is requesting to be released, as noted on the Official School Calendar.

ii. Military withdrawal requires original military orders and withdrawal from Georgia Institute of Technology.

iii. Medical withdrawal requires signed recommendation and supporting documentation from licensed practicing physician. The supporting documentation must be submitted within 30 days from the occurrence date of the medical condition. A Georgia Institute of Technology Student Health Services physician will review and make recommendations to the Assistant Vice President & Executive Director of Housing for all medical withdrawal requests. All medical withdrawal requests are unique. The types of situations that may warrant an approval of a Medical withdrawal include, but are not limited to, unexpected medical condition or change(s) to an existing medical condition. All requests for Medical withdrawals will be determined on a case by case basis.

iv. Georgia Institute of Technology Co-op, Internship, and Study Abroad Programs release requires a completed “Verification of Employment/Study Abroad: Georgia Tech Internship, Co-op and Abroad Programs” form, attainable through your program advisor or program coordinator. Georgia Institute of Technology Internships and Co-ops release need to extend 35 miles from the Georgia Institute of Technology main campus.

v. For a Marriage release, the marriage must take place during the semester the Student is requesting the release. A marriage certificate must be submitted within 30 days of the marriage.

vi. Academic Dismissal is define by the Georgia Institute of Technology Registrar’s Office Rules and Regulations, Section VI. Scholastic Regulations, C., 6. The Student will be notified by their official Georgia Institute of Technology email account of the Student’s housing cancellation and if applicable, dates by which the official check-out must be completed by. Failure to complete the official check-out will result in a daily charge of $75.00 being billed to the student’s account.

 

The Department of Housing will make copies of the above requested original documents. If not in English a certified English translation is required. Georgia Institute of Technology Department of Housing shall determine the sufficiency of the documentation presented. Otherwise, the Student will be responsible for the remainder of the Contract (rent and fees).

Georgia Institute of Technology Department of Housing may terminate this Contract and take possession of any unit at any time for violation of the provisions contained herein or when it is in the best interest of Georgia Institute of Technology Department of Housing, Georgia Institute of Technology and/or the Student. No refunds will be granted to the Student in cases where the termination of the Contract is based upon disciplinary actions. The Student will be liable for the full Contract rate (Academic Year).
